A deposit of 25% of the total rental contract is due at time of booking. Payment of this deposit does not imply Wicked Westies’ acceptance of the booking. The booking will be confirmed once 1) all drivers are of an appropriate age 2) Payment has cleared and 3) insurance coverage is in place. The deposit will be treated as the first installment of the total amount payable.
Payment of all van rental charges is due upon vehicle pickup. Rental charges are billed in Canadian Dollars and can be paid by Canadian cash, bank draft, traveler cheque, direct deposit, Visa or Mastercard. No personal cheques will be accepted.
A security deposit of $1,000 will be pre-authorized to cover any additional costs related to vehicle damage, additional mileage fees, loss of equipment, extraordinary cleaning, refueling and extra time fees. This fee is fully refundable if no additional charges are incurred.
All cancellations must be in writing (email is preferred). A $50 charge applies to all cancellations over 30 days from the date of departure. For cancellations less than 30 days prior to the scheduled pick up date, the reservation deposit will be forfeit. No-shows will also forfeit their deposit. These fees are in place to recover our transaction processing costs and to prevent folks from blocking off a rental period that they were never sure whether they would use. Vans are at a premium during the summer months and we want to make sure that everyone has a fair chance at getting one when they want it.
Pets are permitted providing arrangements are made at the time of booking. A $50 cleaning fee applies to each rental regardless of the length of the rental period.
Smoking is not permitted inside the vans. Violation of this rule is subject to a minimum $250 cleaning charge.
Rental vans are prohibited from towing trailers or vehicles of any kind.
Drivers must be at least 21 years of age. All drivers between 21 and 24 years of age will be subject to $35/day underage driver surcharge on top of their daily rental fee. This fee is non-negotiable.
All drivers must possess a valid driving license for the entire rental period. An international driving license is recommended for foreign tourists. Only drivers listed on the contract are allowed to drive the vans and all drivers must present their driving license at vehicle pick up.
Pick up and Return
Vehicles are available for pick up and drop off between 9 am and 5 pm Monday to Friday (excluding major Canadian holidays). After hours pick up or drop off can be arranged in advance but cannot be guaranteed. Vehicles must be picked up by the individual responsible for the rental. With the exception of overtime rentals, renters will be charged for the amount of time they agreed to book and not for the time they actually used. We will not apply refunds for late pick up or early return unless the shortened rental period is due to some fault on our part. Unless previously arranged, additional rental days beyond the rental period will be charged at DOUBLE the prevailing rate so please ensure that you have enough time to return the van on the agreed upon date.
Please return your van by 12:00 noon on the final day of your rental. Each hour (or part hour) beyond noon will be subject to a $15 charge so we strongly encourage you to be on time.
All vehicles will have a full tank of gas on pickup. You will be expected to return the vehicle with a full tank. There is a gas station right at the bottom of our road, so this will take the guesswork out of when best to fill up.
Each van includes 120km/day (75 miles/day) of free mileage. Additional kms are $0.35 but 100 km packs can be purchased for 32, 500 km packs for $145, 1000 km packs for $260 and unlimited kms can be purchased for $25/day.
Volkswagen van engines require 91 octane gas and will run poorly on lesser fuels. Under extreme conditions, the use of lower octane fuels can lead to “knocking” and this can lead to severe engine damage. This is a really unhappy way to end your vacation so please make sure you use the correct fuel. If you keep records of all your fill ups and show us the receipts, we will credit you $5 at the end of your trip.
All vans have collision coverage and fire/theft/vandalism coverage. The deductibles are $2,500 and $1,500 respectively. Renters are responsible for the deductible in the event of an at-fault accident or other incident.
Renters may purchase our commercial insurance policy ($19/day) to reduce the deductible to $250 for collision and fire/theft/vandalism or they may use their own rental coverage from their auto insurance coverage or credit card. Please note, most credit cards and many home insurance policies do NOT cover the rental of recreational vehicles and our vans are considered RVs. Further, most credit card companies and many auto insurance policies do NOT cover international vehicle rentals of any kind. Please check with your insurance agent or credit card company prior to booking. It is the renter’s responsibility to provide clear, unambiguous documentation to support their claim of coverage. Wicked Westies is not able to check on the renter’s behalf.
On rare occasions, mechanical problems or accidents may occur during a rental. Each vehicle has a comprehensive manual that addresses the most common problems but renters can call 604-512-7511 from 6am to 10pm for assistance with more complicated issues. We will do everything we can to get you back on the road as soon as possible.
Driving Location Restrictions
Renters may drive on any paved highway in the United States or Canada. Trips to Mexico are not permitted.
Renters are encouraged to stay on paved roads where possible but gravel roads are permitted as long as they are well-maintained. If you damage a van by taking it off road, you will be responsible for repairing the damages. If you get a van stuck in the mud or are stranded on an unpaved road, you will be responsible for all costs associated with getting it out (e.g. towing and other damages).
